Why data sovereignty and offline operation are becoming a topic for 3D tours

Virtual 3D tours have become firmly established in real estate, trades and documentation. Systems such as Matterport have shaped this market significantly, delivering a seamless end-to-end package of camera, cloud and web interface. As adoption grows, however, two questions come more sharply into focus: where is the captured data actually stored, and what happens to a tour when the subscription runs out or the provider changes its terms?

These questions are neither a criticism of the cloud model nor a plea for purely local solutions. Both approaches have clear strengths. What matters is knowing your own requirements for availability, data protection and budget.

The cloud-bound approach: convenience and ecosystem

With cloud-bound systems, the scan data is transferred to the vendor's servers after capture and processed there. The finished tour is then streamed from that cloud and made available via a link or an embed.

The major advantage is convenience. The provider takes care of hosting, backups, computing power and continuous development. Features such as dollhouse views, automatic measurement, visitor statistics and interfaces to real estate portals are available with no development effort of your own. For teams without their own IT infrastructure this is a considerable gain in efficiency: you scan, upload and share the tour, without worrying about servers or maintenance.

The finished tour is often generated as a self-contained package that runs without the vendor's cloud: on your own website, self-hosted or even fully offline, for example for presentations without an internet connection.

The central advantage is control. The storage location is freely determined, which makes GDPR compliance easier because the entire data flow remains traceable. Open or standardised formats such as glTF, OBJ or classic point cloud formats allow further processing in other programs. In addition, there is no dependence on a single platform: the tour persists even when a provider's prices, plans or business strategy change.

This freedom comes at a price. Operation, hosting, backups and updates are your own responsibility and require corresponding technical know-how or a partner. Some convenience features that cloud platforms include out of the box have to be set up or integrated yourself. The feature scope depends more heavily on the software used.

Much is decided by the data storage location: a third-party cloud versus a location you choose yourself. On offline availability, cloud systems usually stream from the network, whereas offline-capable solutions are delivered as a self-contained package. When each approach fits

A cloud-bound system plays to its strengths when quick readiness, a broad feature range and minimal maintenance effort of your own are decisive. Anyone who wants to publish many properties in a short time and has no IT infrastructure of their own benefits from the worry-free character, provided the ongoing subscription costs and external data storage are acceptable.

A data-sovereignty-focused or offline-capable approach makes sense when data protection, control over the storage location, independence from the provider or operation without a third-party cloud are the priority. This applies in particular to sensitive properties, long-term archiving, official or internal corporate requirements, as well as cases where the tour is meant to be available permanently and without recurring fees.

In practice the two worlds can often be combined: for example a cloud tour for fast marketing and an exported, data-sovereign archive for long-term preservation. What matters is deliberately asking the question of data storage location and offline operation before committing to a system, so that the later choice remains open and investments in elaborate scans retain their value over the years. Ultimately it is not about right or wrong, but about the right balance of convenience, cost and control for the respective purpose.
